Payment methods, receipts and ledgers

Queensland tenancy rules require clear rent payment records. If you pay in a way that does not automatically create a bank record, ask for receipts and keep them safe.

A rent ledger can help identify alleged arrears, missed allocations, payment method fees and disputed amounts. Request the ledger in writing if the figures do not match your records.

  • Keep bank statements, receipts and screenshots.
  • Check the period each payment was allocated to.
  • Ask for written clarification of any fee, surcharge or unexplained balance.

Rent in advance

Rent in advance means rent paid before the rental period is reached. It does not mean the lessor or agent can require another payment before the paid-to date arrives.

If you believe you are being asked to top up rent too early, check the paid-to date and request the calculation in writing.

Rent increases

A rent increase should be given in writing and must comply with current Queensland rules. Current RTA guidance should be checked for the minimum written notice period, fixed-term agreement requirements and the rent increase frequency limit.

Queensland reforms changed rent increase frequency rules so the frequency limit is connected to the property, not only to the individual tenancy. This is a fact-sensitive area, especially after a new agreement, renewal or change of tenant.

  • Check the last rent increase date for the property if available.
  • Check whether your fixed-term agreement permits an increase during the term.
  • Keep the notice and calculate the proposed effective date carefully.
  • If the amount appears excessive, check RTA guidance about dispute options.

Utilities, service charges and water

Utility and water charges depend on the agreement, metering, supply arrangements and RTA rules. Water usage charges usually require specific conditions before they can be passed on.

Ask for copies of bills, meter readings and calculations. If water is charged, ask for evidence relevant to water efficiency where required.

  • Keep move-in and move-out meter photos.
  • Check whether a bill period includes time before or after your tenancy.
  • Do not ignore a breach notice even if you dispute a charge.

Arrears and payment plans

If arrears are alleged, compare the rent ledger with your own bank records. Mistakes can happen, but deadlines can still run while you are checking.

If you owe rent and cannot pay immediately, a realistic written payment plan may help. Keep it specific: amount, date, payment method and how ordinary rent will continue.

  • Get financial counselling if rent arrears are part of a wider debt crisis.

Disputes over money

Money disputes can involve rent, utilities, bond, compensation, invoices or disputed deductions. Good evidence includes the agreement, account statements, invoices, photos, ledgers and a simple chronology.

RTA dispute resolution may be required for some non-urgent disputes before QCAT. Urgent applications follow different rules.
